Problem :

Public infrastructure issues like potholes, overflowing garbage, and water leaks often go unreported or unresolved for long periods due to inefficient complaint channels. Traditional reporting methods — phone calls, in-person visits, or paper forms — are slow, poorly tracked, and lack transparency for citizens. There's usually no way for the public to verify whether a complaint has been received, is being processed, or has been resolved. Municipal authorities also struggle to prioritize and manage large volumes of scattered complaints without a centralized system. This creates a gap between citizens who want civic issues addressed and authorities who need an organized way to track and act on them.

Solution :

The Smart Complaint Management System is a MERN-stack web platform that lets citizens report civic issues like potholes, garbage, and water leaks directly through a simple interface. Users can attach photos of the issue, which are efficiently stored and managed using Cloudinary integration for fast, reliable media handling. Complaints are tracked through their full lifecycle, giving citizens visibility into the status of their reports. Tailwind CSS was used to build a clean, responsive interface accessible across devices. The system centralizes complaint data, making it easier for civic bodies to view, prioritize, and resolve issues efficiently.

Challenge :

Designing a data model that could handle multiple complaint categories (potholes, garbage, water leaks) while keeping the system flexible for future issue types required careful schema planning. Integrating Cloudinary for media uploads meant handling image compression, storage limits, and reliable retrieval without slowing down the platform. Building a real-time-feeling status tracking system on a MERN stack required thoughtful state management between frontend and backend. Ensuring the interface stayed simple and accessible for everyday citizens — not just technical users — took extra care in UI/UX decisions. Handling potential spam or duplicate complaints without a verification system was a limitation that needed consideration. Making the platform scalable enough to handle a growing volume of complaints across multiple categories added backend design complexity.

Summary :

The Smart Complaint Management System is a civic-tech platform that bridges the gap between citizens and public issue reporting using the MERN stack. It lets users report common infrastructure problems like potholes, garbage, and water leaks with photo evidence, powered by Cloudinary for efficient media management. Built with Tailwind CSS for a clean, responsive experience, the platform centralizes complaint tracking for both citizens and civic bodies. The project won second prize at a National Level Hackathon conducted by SKP Engineering College, reflecting its practical relevance and solid execution. It demonstrates full-stack development skills combined with a genuine focus on solving a real-world civic problem.
